📑My Documents

My Documents dashboard shows all documents where you are a owner.

When the user clicks on the My Document tab, they will access a screen displaying the status of documents they own. They can switch from the dashboard view to a summary table for easier document management. For additional guidance, the colors associated with each status are indicated by the legend on the left side of the screen.

Counters

Statistics of the documents where you are the owner. The counters have the following information:

  1. The number of documents that exist under each status.

  2. The percentage that each count represents.

  3. When the status of a counter is selected, a blue bar appears underneath, indicating that this is the status you are viewing.

Record Cards

The displayed card includes the following information: Document Name, Document Number, Revision, Version and Document Form.

  • The icon is used to view the record. When clicking this icon the system redirects you to the record.

  • The icon is used to access the file repository of the record, allowing the view feature for compatible file types.

Search Filters

The counter dashboard offers a range of options to filter records by status. When these options are applied, they will impact each count.

  • Document Type

  • Record Filter

Summary Table

To view the dashboard as a summary table click the table icon . The summary table contains the following columns:

  • Name: This column shows the document's name, document's ID number, revision ID, version, and the department.

  • Next Revision Date: This column shows the revision due date of the document.

  • Status: This column shows the status of the document.(Open, Under Review, Approved, Effective).

  • File repository: To access the file repository for the record, click on the icon that allows viewing compatible file types.

  • External link : To view more detailed information about each record, click on the icon.

To go back to dashboard counter mode click the calculator icon .

Tips

  • When the document has a next revision date, it will display the days remaining in green for more than 30 days, yellow for less than 30 days but more than 5 days, and red for less than 5 days.

The summary table offers a range of options to filters. When these options are applied, they will impact the chart.

Approving Documents

Click View Record to access the document and view details. Electronic signature can only be performed if the document is in Under Review status and you are an approver.
